Job description
We are currently seeking an Executive Assistant to the CEO (f/m/d) based in Berlin, Germany.

Work location is Berlin. Remote work is not possible for this position.

Key Responsibilities:
  • Manage the day-to-day work and agenda of the CEO.
  • Manage business correspondence, including collaboration with external parties and staff.
  • Lead the coordination and preparation of talking points and presentations for the CEO.
  • Represent the CEO's office at external and internal meetings as requested.
  • Plan and participate in internal and external meetings with the CEO and ensure action items are implemented.
  • Review final contracts, proposals and budgets and make approval recommendations to the CEO where necessary, in collaboration with the COO, Team Leads, and Office Directors as appropriate.
  • Assist in reviewing and contributing to content  products and deliverables.
  • Travel planning and management including   the planning of associated meetings and events.
  • Lead the preparation of high-level written correspondence, organizational communications, and CEO office reports.
  • Ensure the CEO is informed of key priorities.
  • Lead and initiate new work processes and procedures, i.e. providing guidance and expertise related to the smooth and efficient functioning of the CEO's office and suggestions to other functional areas.
  •  Interface between the CEO and staff
    1. Ensure smooth workflow between the CEO's office and teams and offices across the organization. If necessary, support in completing work.
    2. Ensure a smooth workflow between the CEO and senior management and assist in the completion of work where necessary.
    3. Communication interface for the CEO's office and staff..
  • Support the work of the Climate Analytics Board.
  • Support the Executive team and Management team processes.
  • Manage the student assistant in the CEO's office.
  • Participate in or implement key project initiatives as required.

Your profile
  • University degree
  • Demonstrated experience in a similar role supporting senior managers, ideally in an NGO, scientific organization or in the political sector
  • Strong communication skills and professionalism in dealing with decision-makers, team members and partners as well as the ability to formulate complex issues precisely and in a way that is tailored to the target group
  • Excellent time management and a structured way of working as well as the necessary confidence to complete several tasks in parallel
  • Service mentality as well as assertiveness and persuasiveness with an independent, committed and cooperative working style
  • Fluent spoken and written English, German is an advantage
  • Willingness to travel is important
